One of the most expensive wedding mistakes couples make isn't choosing the wrong flowers, venue, or color palette.  It's hiring the wrong vendor.  Every week I see stories about vendors who don't show up, don't respond, don't deliver what was promised, or disappear entirely after taking a deposit.  The truth is that a beautiful Instagram feed is not the same thing as experience.  Before hiring any wedding professional, ask yourself:   How long have they been in business?   Do they have consistent reviews?   Can they provide recent references?  Do they have a professional contract?  Are they responsive and organized before you hire them?   Do they understand your priorities and concerns?


The lowest price is not always the best value.  The prettiest website is not always the most reliable choice.  And the most popular social media account is not always the most experienced professional.  Your wedding is one of the largest investments you will make.  Choose vendors the same way you would choose any professional responsible for protecting that investment.  Do your research.  Ask questions.  Trust your instincts.  And remember: the right vendor doesn't just provide a service.  They provide peace of mind.


If you've spent any time in wedding groups, on social media, or browsing Reddit lately, you've probably seen the horror stories.  The photographer who stopped responding after collecting a deposit.  The DJ who didn't show up.  The florist who delivered something completely different than what was promised.  The planner who disappeared after the contract was signed.  These stories are heartbreaking, expensive, and unfortunately becoming more common.


The good news is that most of these situations can be avoided by taking the time to properly vet your wedding professionals before signing a contract.  After more than two decades in the wedding industry, here are the things I encourage every couple to consider before hiring any vendor.


Don't Hire Based on Social Media Alone


A beautiful Instagram feed is not a sign of professionalism.  Social media showcases a vendor's best work. It doesn't tell you how they communicate, how they handle challenges, or whether they consistently deliver the experience they promise.  Use social media as a starting point, not a final decision.  And, remember that when you request for recommendations on social media, you are setting yourself up for being spammed by vendors who may not be professional at all, but hobbyists.  It amazes me that I see hundreds of responses on a post.  It has to be confusing for the person who posted the request.  Turn off your comments when and if you find reliable answers.

Look Beyond the Highlight Reel


A vendor may have ten stunning images online.  What you want to know is whether they have successfully served dozens or hundreds of clients over time. Look for: consistent reviews across multiple platforms, a professional website,  recent client testimonials, a history of completed events, evidence that they are actively operating their business.  Experience matters.


Pay Attention to Communication


One of the biggest clues about how a vendor will perform after booking is how they communicate before booking.  Do they respond promptly?  Do they answer questions thoroughly?  Do they provide clear information?  Do they seem organized?  If communication is difficult before the contract is signed, it rarely improves afterward. Pay attention to their words, their demeanor. Do they listen or do they talk over you touting their own ideas and not addressing yours? Do they answer you directly or skirt the question with fluff?

Ask About Contracts and Policies


Every professional vendor should provide a written contract.  Read it carefully.

Understand:  payment schedules, cancellation policies, refund policies, delivery timelines, backup plans, what happens if the vendor becomes unavailable.  A professional contract protects both the vendor and the client.


Understand What Is Included


Many problems occur because couples assume something is included when it is not.  Ask detailed questions.

For example: How many hours of coverage are included?   Are assistants included?  What happens if additional time is needed?  Are setup and breakdown included?  Are travel fees additional?

Clarity prevents surprises . 


Ask for References


Reviews are helpful.  Conversations are better.  Don't be afraid to ask for references from recent clients or industry professionals.  A reputable vendor should have no hesitation providing them.  One word of caution, reviews are subjective.  If you read 9 great reviews and 1 really bad one, consider if maybe that couple had problems that had nothing to do with the vendor.  And, remember, a reputable vendor may only give you a reference from someone they know will give a great recommendation.  It doesn’t make them less able to do a great job. 


Be Careful With Pricing That Seems Too Good to Be True

Everyone loves a great value.  But if one vendor's pricing is dramatically lower than everyone else in the market, ask why.  Sometimes you find a hidden gem.  Sometimes you're discovering why the price is lower.  The least expensive option can become the most expensive mistake.  Examples are planners and photographers.  Someone who has planned their own wedding and decides they want to get in on the fun may charge ridiculous pricing, just to get another wedding to plan.  Planners with a real business and the experience to execute a flawless wedding will charge, on average, $1500- $3000 for day of, $4000- $6000 for partial planning and upwards of $10,000 for full planning.  So, if someone tells you they will plan your wedding for $1000, that is a red flag.  Photographers who claim they will do a 8- 10 hour day with a second shooter for $2000, probably do not have the skills to document your wedding.  Remember that those photos are the only visible memory of your day.  There is no “do over”.  So, be very sure that you are getting someone with the skills and the equipment to do the job.  Expect to pay between $4000- $8000, on average.

Trust Your Instincts


If something feels off, pay attention.  If communication is inconsistent, if promises seem unrealistic, or if you're feeling pressured to make a decision quickly, take a step back.  Your wedding vendors will be responsible for some of the most important moments of your wedding day.  You deserve professionals who make you feel confident, informed, and supported.  Do they listen to your questions or do they talk over you to tout their own business?  Do they address your questions and concerns or do they tell you what you want?  Do you feel connected to these vendors- especially a photographer.  I had 2 clients who booked the same photographer.  He was a talented artist and I knew him.  One couple had a fabulous experience and loved their wedding photos, the other had concerns after the engagement shoot.  The bride did not connect with him, she didn’t feel comfortable.  I advised them that  they should hire someone else.  But, the groom didn’t want to lose the money they had already paid.  When they got their pictures back from the wedding, she was upset.  She did not like the result.  I saw the photos, they are fine.  Same photographer, same quality, two different results.  


The Goal Is Peace of Mind


Your wedding is a significant investment of both money and emotion.  The right vendors don't simply provide a service.  They provide confidence.  They provide expertise.  And most  importantly, they provide peace of mind.  The goal isn't just hiring talented people.  It's hiring professionals you can trust.  Because when your wedding day arrives, you should be focused on celebrating—not wondering whether your vendors will deliver. For what it is worth, the best way you can make sure you have a team of professionals that actually provide the service you pay them for- before you do anything else, hire a seasoned planner who has a proven network of vendors and a clear picture of the venues that do the best job.
